Website concept — draft privacy statement for Systellence’s review before public launch.
Who we are
Systellence CC (registration number 2007/119683/23) operates this website. This statement covers browsing this website and enquiries about our products and development services. Separate product notices and service agreements govern information processed within VotingCrowd, SchoolSpi and other systems.
Information we use
When you visit, your browser sends technical information such as your IP address, browser details and requested pages to the hosting provider. This is used to deliver the website, protect it and investigate errors. Hosting providers may retain access and security logs. This website has no contact form, account registration, voter upload or attendance submission feature.
If you contact us by email, telephone or WhatsApp, we use the information you provide to respond, discuss requirements, prepare quotations and administer agreed services. Please only send information needed for your enquiry; do not send identity documents, voter lists or learner records through a general enquiry.
Why information is processed
Personal information must be processed on an applicable lawful basis under the Protection of Personal Information Act, 2013 (POPIA). This may include steps towards or performance of a contract, compliance with a legal obligation, a legitimate interest in operating and protecting our services, or consent where required. An enquiry does not constitute consent to unrelated marketing.
Providers and external services
Hosting and communications providers process information needed to deliver their services. The contact page automatically loads Google Maps: this sends connection information to Google, which may use cookies and other storage. Opening WhatsApp connects you to WhatsApp/Meta, and product links lead to separate websites. Their own policies apply. See our cookie statement and Google’s privacy policy.
Providers may process information outside South Africa. Any transfer of personal information must meet applicable POPIA requirements, including section 72.
Retention and protection
Personal information should be retained only as long as required for its purpose or an applicable legal, contractual or lawful recordkeeping requirement, and then deleted or de-identified where appropriate. Product-specific retention arrangements belong in the applicable service agreement. Reasonable technical and organisational safeguards are required to protect information. No online service can be guaranteed risk-free; security compromises must be assessed and notified as required by law.
Your rights
Subject to applicable law, you may request confirmation of information held about you, access, correction or deletion; object to qualifying processing; and withdraw consent where processing depends on consent. Withdrawal does not invalidate earlier lawful processing. Identity verification may be needed to protect your information.
Contact our Information Officer, JPC Pretorius, at jaco@systellence.com or call 083 652 3459. Our PAIA manual and Form 2 (PDF) explain access-to-record procedures. You may also complain directly to the Information Regulator of South Africa; consult its website for current channels and forms.
